  • Customer Service Representative

    Primary Function:

    Operation Warm is looking for an experienced Customer Service professional to help us provide support to our partners.

    This Part Time hourly position will be Seasonal with a flexible work-from-home & in-office schedule.

    Start date: August 30, 2021

    End date: Approx. February 28, 2022

    Core Responsibilities:

    · Answer and manage incoming customer calls and emails regarding coat/shoe orders, product/service questions, online order placement help, shipment tracking and general client concerns.

    · Phone specific coverage during normal weekday business hours.

    · Record customer interactions and update contact/account records in Salesforce during and after each call.

    · Excellent customer care and focus; ability to assess customers’ needs and provide the correct answer, path, troubleshooting, or method for a positive customer experience.

    · Responsible for maintaining a high level of professionalism.

    Qualifications:

    High school degree or equivalent

    Previous experience in customer support, client services or a related field.

    Excellent at communicating over the phone and email.

    Basic computer skills and experience with tracking and recording call information, filing documents or updating customer profiles/accounts.

    Experience with Salesforce is a preferred.

    Able to concentrate on multiple projects at once with excellent time management and prioritization skills.

    Ability to answer the phone, listen actively, relay information, and type basic information simultaneously.

    Customer-focused for positive customer experience and resolution.

  • Events Coordinator - Seasonal

    PRIMARY FUNCTION:

    The Event Coordinator is responsible for the project management and successful execution of events for Operation Warm’s corporate, community, and grant funders. Areas of accountability include funder and beneficiary management, coordination of event logistics, and flawless execution of coat/shoe gifting events. Strong problem-solving skills and creativity, as well as enthusiasm for our mission is integral to this position. 

    RESPONSIBILITIES:

    • Execute comprehensive project plans that adhere to timelines, program requirements, and funder expectations.
    • Plan, coordinate, and act as day of lead for in-person and/or hybrid events, facilitating run of show, technological needs, and event organization.
    • Maintain proactive communication with program stakeholders – beneficiaries, funders, and internal teams.
    • Promote a positive work atmosphere by acting and communicating in a manner which ensures that we meet Operation Warm’s mission.
    • Other duties as assigned.

    KNOWLEDGE, SKILL, AND ABILITY REQUIREMENTS:

    • Bachelor's Degree required 
    • Previous event planning experience required
    • Excellent verbal and written communication skills, along with strong attention to detail
    • Ability to work well under pressure and the ability to meet tight deadlines.
    • Experience with Microsoft Office – Salesforce, Give Lively, Asana a plus

    SPECIAL REQUIREMENTS:

    • This position currently is subject to a COVID-19 vaccination requirement, subject to applicable law.
    • Ability to travel both locally and nationally, up to 70% from September through December.
    • Sitting or standing for extended periods of time as well as walking, bending, and lifting of light loads up to 25 pounds during event set-up and implementation

    JOB TYPE:

    • 6-month Full-time Contract from September 1 to February 1.

    Primary Function

    Responsible for the development and cultivation of Foundation Partners across the United States and  the organization’s grant writing efforts to all funders who require it. This person will be an integral part of the development team and will coordinate the external and internal resources necessary to build and achieve a robust foundation program that is driving donations to support Operation Warm’s initiatives and vision.  The position will report to the Executive Director.

    Principal Duties & Responsibilities

    • Responsible for entire life cycle of foundation funding from research, contact, cultivation, production and completion of grant requests
    • Lead grants team to meet/exceed established goals and ensure all grants are fulfilled
    • Support the grant writing needs of the IT, Operations & Partnerships Teams
    • Collaborate with OW teams to innovate programs that compel donor support
    • Evaluate new logic models to evaluate outputs and outcomes and expand our survey collection methodology
    • Contribute to annual budgeting and planning efforts, and assist with monthly forecasting 
    • Ensure Salesforce Database is updated to keep accurate donation records and ensure donors/funders are promptly and appropriately recognized for their support

    Qualifications

    • 5+ years of developing and managing comprehensive development programs specifically through granting
    • Experience with a national non-profit preferred
    • Experience in preparing, presenting to an executive audience
    • Excellent written and verbal communication skills
    • Detail oriented with well-developed management and organization skills
    • Proficiency in working with grant writing and fundraising databases
    • Expertise with Microsoft Office products
    • Salesforce or other CRM experience required
    • Direct/Supervision Of Others - This position will directly supervise two grants team member

    Education and Experience Requirements

    • BA or BS undergraduate degree, 5+ years not-for-profit management/fundraising and grant writing experience

    PRIMARY FUNCTION: 

    Entry/Developmental position. The Associate/ Database Administrator will report to the IT Director and will support the upkeep, configuration and reliable operation of systems and software, with an emphasis on Salesforce (SFDC). Strong communication skills and creativity, as well as enthusiasm for our mission are integral to this position.

    RESPONSIBILITIES: 

    • Update incoming and current employee status, security settings, and profiles, across systems with emphasis on SFDC
    • Serve as a resource person in areas of data management, dashboards and reporting
    • Assist with integrations between SFDC and our WMS (Warehouse Management System)
    • Assist with management of software licenses, user training, hardware tracking and support agreements
    • Perform field utilization analysis and participate in streamlined data entry processes
    • Prepare data from various internal and external sources in order to import updated data into existing databases, using data load, etc.
    • Perform routine database administration, operational support, maintenance and system configuration as defined in standard operating procedures
    • Maintain and update standard operating procedures, as needed
    • Analyze and manage workflow rules, data validation and system triggers on the SFDC platform
    • Work closely with other team members to develop/implement business rules, update database functionality, and resolve integration issues in a comprehensive, timely manner
    • Troubleshoot problems concerning database workflows and functionality and communicates with co-workers; support debugging and testing
    • Analyze technical and manual work alternatives for problem resolution, and present recommendations to improve business efficiency and minimize risk
    • Review data manually and electronically for accuracy and completeness
    • Responsible for the validity of data contained in the database
    • Support data flow activities, documentation, abstracting and interpretation
    • Manage surveys in GetFeedback and create automation to send communications from SFDC and record responses; support mass emails, as needed
    • Assist with integrated packages including Give Lively, Apsona, and Pardot troubleshooting, connection SFDC, etc.
    • Absorb new product and technical capabilities during new product releases
    • Special projects and other duties as assigned
    • Minor infrastructure troubleshooting (phone lines, printer, wireless etc)

    KNOWLEDGE, SKILL, AND ABILITY REQUIREMENTS: 

    • Associate or BS degree in Information Technology or related field
    • Salesforce experience is a plus but not needed
    • Microsoft suite
    • Knowledge of database design and implementation
    • Proficient with the use of personal computers, including: spreadsheet design (Excel), word processing (Word), MS Teams, Outlook and OneDrive/SharePoint
    • Strong technical and business writing skills sufficient to effectively communicate data analysis findings and recommendation

    Primary Function: 

    Salesforce is our CRM tool. Pardot is our marketing automation tool.  These systems allow us to  manage donors, partners, inventory and communication across two platforms.  Like most organizations, we have the opportunity to improve the integrity of the information and data in our system.  Volunteers will:  

    ·      Be given access to data sets from Salesforce or Pardot

    ·      Help to clean data

    ·      Submit the clean data to Operation Warm staff person
     

    Timeline:  We request that volunteers make a minimum 10 hour commitment to this project. Operation Warm will share an initial overview to Salesforce system during an introduction call. A weekly volunteer check in call will be scheduled. Project should be completed by May 31.

    **Prior experience with Excel is required.

  • Skilled Volunteer: Customer Service Consultant

    ·       Review customer service processes

    ·       Make recommendations for improvements
     

    Qualifications:

    ·       5-10 years experience in customer service

    ·       Experience with non-profit a plus
     

    Timeline:  We request that volunteers make a minimum 5 hour commitment to this project. Operation Warm will share an initial overview of our project requirements. A weekly volunteer check in call will be scheduled. Project should be completed by April 30.

  • Skilled Volunteer: Google Analytics

    ·       Ensure that analytics are being correctly captured

    ·       Advise on recommendations

  • Skilled Volunteer: Public Policy Analytics Consultant

    Operation Warm is looking for a Public Policy Analytics Consultant to analyze our impact in United States Congressional Districts and state legislative districts.
     

    Deliverables for Public Policy Analytics Consultant:

    • The Public Policy Consultant will provide analysis and written recommendations identifying the districts where we have the most impact
    • Provide recommendations for outreach
       

    Qualifications:

    • Knowledge of political districts
    • Access to software for analysis
    • Comfortable with handling raw data in excel
       

    Timeline:  We request that volunteers make a minimum 5 hour commitment to this project. Operation Warm will share an initial overview of our project requirements. A weekly volunteer check in call will be scheduled. Project should be completed by May 14.
